Victoria AI ("we", "our", "the Company") is committed to protecting your privacy and ensuring the security of your personal information.
Who processes the data
The legal name is Victoria AI, Córdoba, Argentina.
This policy covers three different types of information, and it is worth distinguishing them from the start:
The data of whoever visits the site
Name, company, job title, phone and email entered in the forms on victoriassistant.com.
The data of whoever uses the platform
User, role, permissions and record of actions inside Victoria CRM and the agents.
The data the client company entrusts to us
Conversations from its messaging channels, contact data of its customers, orders and documents. These are third-party data that the client company loads or connects in order to run its own service.
The information in that third layer continues to belong to the client company. Victoria processes it in order to run the service that company contracted, and nothing else.
What data we collect
We collect data that you voluntarily provide to us when using our services or interacting with our website, such as:
- Contact data: name, email address, telephone number, physical address.
- Account credentials: username, password (stored securely).
- Technical information: IP addresses, device type, operating system, cookie identifiers and similar technologies.
- Usage data: information about how you use our website and services.
- AI-generated data: text you enter and responses generated by AI agents operating on the platform.
When a client company connects its messaging channels, the platform additionally stores the content of the conversations those channels send and receive —text, images, attachments and voice notes—, the contact data of the person writing and the operational information the client company loads: customers, orders and documents.
How we obtain them
We collect your personal data in various ways:
- Directly from you, when you create an account, subscribe, fill in forms or send us requests.
- Automatically, through cookies and similar technologies when you visit our site.
- From third parties, such as analytics service providers or authentication systems.
We also receive information through the messaging channels the client company connects to the platform and through the integration with its management system.
What we use them for
We use your data to:
- Provide, operate and maintain our services and website.
- Personalize your experience and respond to your requests.
- Send administrative communications and updates.
- Improve our products through analysis and technological development.
- Detect and prevent fraud, as well as protect the security of the platform.
- Comply with legal obligations or judicial requirements.
The list is closed: if a purpose is not on this list, it is not carried out.
Legal basis for the processing
Depending on your location, we process your data on the basis of:

- Performance of a contract.
- Legal obligations.
- Legitimate interests (e.g., security and improvement of services).
Processing of WhatsApp conversations and other channels
The companies that use Victoria serve their customers over WhatsApp, Instagram, Facebook, TikTok, Telegram, email and web chat. This section explains what happens to those conversations.
What is stored
The content of the messages sent and received, their attachments and the contact data associated with the conversation.
Why it is stored
To keep the history of the case, to give context when the conversation passes from an agent to a person on the team, and so that the client company can audit what was answered.
Who can read it
The users of the client company who have permission over that conversation. Permissions are per user and per area, and are defined by the client company itself.
What is recorded
Every action inside the platform is recorded with user, date and detail of what changed.
Each company’s information is separate from everyone else’s. No user can reach data from another account.
WhatsApp conversations are operated through the official WhatsApp Business API and are additionally subject to Meta’s policies. The same applies to the rest of the channels: each platform is governed by its own terms.
What we do not do with the data
The use we make of your company information is limited to running the service you contracted.
We do not train external models with your data
Your company’s operational information does not feed third-party models.
We do not share your data with third parties
Not with other clients, and not with vendors outside the provision of the service.
We do not mix information between accounts
What happens in your company is not visible from any other.
We do not sell or transfer contact databases
Your customers are yours.

Who we share them with
We do not sell your personal data to third parties. We may share information with:
- Service providers acting on our behalf.
- Trusted partners that help operate the site or provide services.
- Competent authorities, if required by law or in order to protect our rights.
International transfers
Since Victoria AI operates globally, your data may be transferred to and stored on servers located in different countries. We adopt appropriate protection measures in accordance with applicable law.
How long we keep them
We retain personal information only for as long as necessary to fulfill the purposes described in this policy or as required by applicable laws, or until you request its deletion.

How we protect them
We implement reasonable technical and organizational security measures to protect your personal data from unauthorized access, disclosure, alteration or destruction.

End-to-end encryption
Communications travel encrypted end to end between the channels, the platform and your system.
Automatic backups
Automatic daily backup copies of the information on the platform.
Audit trail of actions
Every action inside the platform is recorded with user, date and detail of what changed.
Granular permissions
Permissions per user and per area: who sees what, who edits what and who has no access.
Data isolated by company
Each company’s information is separate from everyone else’s. No user can reach data from another account.
No use for training external models
Your data is not used to train external models and is not shared with third parties.

Depending on your jurisdiction, you may have rights, such as:
- Access your personal data.
- Correct inaccurate data.
- Request the deletion of data.
- Restrict or object to the processing.
- Data portability.
- Withdraw your consent where applicable.

Victoria’s services are aimed at companies and at persons of legal age. They are not aimed at minors and we do not intentionally collect data from minors.
